As Administrative Assistant, you will provide high quality proactive support to the Head of the Institute of Agricultural Sciences and his team, based in diverse geographical locations. You will manage the administrative tasks and prioritize commitments to ensure high-quality and timely support to the business in a fast-paced multicultural environment.

A Day in the Life of an Administrative Assistant
  • Provide proactive and timely support to the Institute head, managers and team members in tasks related to the Institute\\\'s operations (agendas coordination, meetings minutes on Documentum, visitor arrangements, documents and signature validation, lists and organization charts updates etc.)
  • Manage general administration activities with efficiency: anticipate, prioritize and prepare information as required to ensure timely follow-up
  • Manage organization and coordination of workshops, meetings and events
  • Organize travel arrangements and logistics; manage expense report
  • Coordinate the Institute\\\'s budget and act as back up to coordinate the procurement process (PR/PO)
  • Manage the Institute digital platforms (Intranet, Sharepoint etc.)
  • Coordinate the on-boarding activities of the new team members
  • Support leave management (holidays approval)
What will make you successful
  • At least 5 years successful administrative assistant working experience supporting a team within diverse geographical locations
  • Agile, proactive and open-minded
  • Excellent communication, organization and stakeholder management (internal & external) skills
  • Flexible and autonomous with proven service orientation
  • Trustworthy with ability to work in a multicultural environment
  • Collaborative and resourceful with a positive mindset
  • Digitally savvy with very good knowledge of the MS tools and Concur
  • Fluency in English and French, Spanish is an advantage
