General administrative support for the Quality Unit, such as meeting organization, meeting minutes, set-up document approval process, other admin tasks
Manage and support QMS (Quality Management System) / GxP documents:
+ Accurately file GxP documents in the Quality System
+ Management and support of GxP archive
+ Support health authority inspections in GxP areas at Basilea Management and support of GxP relevant training assignments
Management and support LMS (Learning Management System) users, in specific manage the on-boarding process for new employees
Preparation and processing of invoices, expense claims, payment forms as well as purchasing orders
Supporting with financial budget process by tracking expenses, processing invoices and accrual reconciliation
Organizing meetings, events and travel arrangements
Manage contracts in the contract management system
Your profile
Commercial diploma (e.g. commercial apprenticeship or commercial college) or an equivalent education
Ideally 5 years of professional experience as administrative assistant, preferably in Quality
Experience in a regulated environment and related processes, i.e. GxP (GMP, GCP, GVP, GDP)
Experience in handling technical documentation
High IT affinity with MS products as well as extensive knowledge with LMS and QMS systems
Proficient in organizing, prioritizing and anticipating tasks
Strong attention to detail, precise and accurate working style
Ability and motivation to work in a multi-cultural, dynamic and international setting
Fluency in English and German essential, any other language would be an asset
