Business Support Specialist (m/f/d)
As a Business Support Specialist (m/f/d) at our production site in Muttenz, you will play a crucial role in enhancing executive administrative and management efficiency. You will be responsible for managing all administrative activities for the Site Head and collaborating closely with Site Leadership Team (SLT) members to optimize operating processes and deliver on special projects. Your role will be pivotal in ensuring smooth operations and effective communication within the site and with external stakeholders.
YOUR TASKS AND RESPONSIBILITIES

• Handle confidential information and interface with Senior Management;
• Coordinate and organize key meetings at the site, including content preparation, agenda, meeting minutes, action items follow-up, and catering if needed;
• Coordinate and organize required workshops, including content preparation, alignment, agenda, meeting minutes, and action items follow-up;
• Prepare presentations for key internal Bayer Committees and communication with external parties, aligning them with relevant stakeholders, including Compliance officers;
• Coordinate and plan interviews with internal or external candidates;
• Contribute to and support special projects and the development of functional concepts;
• Collaborate and act as the primary point of contact with Bayer Communication to initiate or support internal Muttenz-related communication initiatives;
• Handle requests for information and data;
• Provide executive administrative support to the Site Head and SLT, including calendar management, meeting landscape, travel booking, and expense reports;
• Resolve administrative and smaller IT issues and inquiries;
• Maintain office equipment and host clients and visitors;
• Provide guidance for assistance colleagues in Muttenz;
• Identify, implement, and improve necessary administrative processes according to onePSS.

WHO YOU ARE

• Preferably a degree in business administration or equivalent, such as commercial training (kaufmannische Ausbildung);
• At least 3 years of working experience in administrative and business support for senior managers;
• Very good planning and organizational skills;
• Proactive by nature (self-starter), dynamic, flexible, and reliable;
• Very good use and experience of IT systems and software, such as PowerPoint, Excel, and Word;
• Strong networking capabilities and teamwork ability;
• Track record of building trustful relationships and communication skills;
• Excellent command of German & English, both written and spoken; any other languages are a plus.
