Customer Service Assistant
We are seeking a dedicated and organized Customer Service Administrative Assistant to join our European after-sales team. In collaboration with the Service Managers and the Spare Parts Manager, you will be responsible for providing administrative support to ensure smooth customer service operations.
Key Responsibilities:
Support for the Service Managers (several sites in Germany, France, England, Switzerland):

  • Recording/invoicing of service assignments according to the Service Manager's report in the local ERP system. Managing and invoicing maintenance contracts. Uploading invoices to various portals / Assisting with reminders for outstanding invoices / Creating credit notes
  • Assisting in scheduling appointments and follow-up with worldwide customers as needed
  • Preparing reports (ERP and Excel): weekly sales / leads per month / backlog per month / warranty costs per month / S-Curve / estimating the service revenue per week.
  • Creating presentations in Powerpoint.
Support for the Spare Parts team (based locally):
  • Assisting with the processing of customer spare parts orders
  • Handling exchange deliveries up to the creation of credit notes (RMA)
  • Supporting the local Service Department, including assisting service technicians with administrative tasks for approving customer service visits with special requirements (managing online portals)
Qualifications:
  • Experience as sales assistant, customer service assistant
  • Some technical experience would be appreciated. At a minimum, a technical curiosity and interest in machinery or industrial equipment will be needed.
  • Experience in an international environment
  • Very good spoken and written skills in English and German. French or Spanish is an advantage
  • Proficiency in MS Office (Word, Excel, Outlook) and ERP experience
  • Very flexible, team oriented, reliable,
  • Ability to manage stress and peak workloads
  • Independent and self-motivated
