Join our team as an Executive Administrative Assistant and play a crucial role in supporting the Therwil Campus for Colgate-Palmolive! You will be instrumental in ensuring smooth operations by providing comprehensive administrative support, including complex calendar management, meticulous meeting planning, accurate note-taking, and seamless travel coordination. Your strong organizational skills, sound judgment, and unwavering commitment to confidentiality will be key to your and our success! You will develop a deep understanding of the organization, its policies, procedures, business activities, terminology, customers, and internal dependencies, becoming an invaluable team member of our organization!
Principal Duties and Responsibilities:
Provide proactive and strategic administrative support to Leadership, anticipating needs and managing priorities effectively.
Independently manage executive activities with discretion and foresight, including speaking engagements, meetings, client relationships, and other executive duties as required.
Prepare detailed meeting minutes and ensure timely follow-up on action items.
Manage complex calendars, strategically allocating the senior leader's time to maximize productivity and efficiency.
Prepare and reconcile expense reports accurately and efficiently, and coordinate comprehensive meeting arrangements and travel plans for both domestic and international travel.
Collaborate with cross-functional teams to manage projects, ensuring smooth execution and timely completion.
Manage Purchase Orders and vendor setup processes, ensuring compliance with company policies.
Organize and manage end-to-end external and internal events across various functions, ensuring seamless execution.
Coordinate special events as needed, providing exceptional organizational and logistical support.
Perform other administrative duties as assigned, demonstrating flexibility and adaptability.
Adhere to all company policies and standards, demonstrating strong ethical behavior and integrity.
Compensation and Benefits
Salary Range $ - $ USD
Pay is determined based on experience, qualifications, and location. Salaried employees may also be eligible for discretionary bonuses, profit-sharing, and long-term incentives for Executive-level roles.
Benefits: Salaried employees enjoy a comprehensive benefits package, including medical, dental, vision, basic life insurance, paid parental leave, disability coverage, and participation in the 401(k) retirement plan with company matching contributions subject to eligibility requirements. Additional benefits include a minimum of 15 vacation/PTO days (hourly employees receive a minimum of 120 hours) and 13 paid holidays (vacation days are prorated based on the employee's hire date within the calendar year). Paid sick leave is adjusted based on role and location in accordance with local laws. Detailed information regarding paid sick leave entitlements will be provided to employees upon hiring and may be subject to adjustments based on changes in legislation or company policies.
