Role Purpose Statement
We are seeking a highly experienced Executive Assistant to provide comprehensive administrative and organizational support to multiple (Senior) Executives, based in our Geneva office. This pivotal role is central to ensuring executive operational efficiency, acting as a critical liaison, managing complex communications, and handling sensitive information with the utmost discretion. Beyond direct executive support, this individual will also serve as a crucial backup for the Sr Executive Assistant and Office Manager, assisting with high-profile events and significantly contributing to office operations and our collaborative culture.
Key Responsibilities
The Executive Assistant will be entrusted with a broad scope of responsibilities, including:
Executive & Remote VP Support:
Proactively manage complex calendars, appointments, and international travel arrangements (including visas, logistics, and expenses) for executives in Geneva. Expertly coordinate and prioritize meetings, conferences, and events, resolving scheduling conflicts with agility and precision.
Communication & Stakeholder Engagement:
Serve as the primary point of contact for internal and external stakeholders. Screen, prioritize, and manage executive communications (calls, emails, correspondence), drafting and editing professional documents, presentations, and reports. Act as a clear communicator, facilitating information flow within a highly international environment.
Meeting & Project Management:
Prepare comprehensive agendas, briefing materials, and presentations for various meetings. Coordinate all logistical aspects for high-level gatherings, including critical support for Board and Commercial meetings. Take accurate minutes and track action items, while also providing dedicated project support, research, and data compilation.
Administrative & Office Contribution:
Oversee general administrative duties, document management (physical and electronic), and manage office-related tasks, including invoice processing. Critically, this role will act as a reliable backup for the Office Manager, ensuring continuity of office operations and actively contributing to the broader team's success.

Required:
Experience:
Minimum of 5 years of demonstrated experience as an Executive Assistant supporting senior leadership within a multinational corporate environment.
Language Proficiency:
Fluency in English and a proficient level of French (both written and spoken) are mandatory.
Technical Acumen:
Advanced proficiency in Microsoft Office Suite (Outlook, Excel, PowerPoint, Word) and expertise in multi-calendar management platforms.
