Job Description

\\n Support the executive in effectively managing and overseeing email communication, both incoming and outgoing. Handle correspondence, routing it as necessary while maintaining utmost confidentiality.

Maintain the executive\\\'s busy schedule by planning and organizing meetings, events, and travel arrangements. Prioritize and schedule meetings based on their importance. Safeguard the company\\\'s and executive\\\'s interests through strict adherence to confidentiality protocols.

Coordinate internal meetings with leadership, schedule board and investor meetings, and plan quarterly and annual business review sessions. Craft itineraries and agendas to optimize time utilization. Directly engage with board members and investors to cater to their scheduling needs.

Facilitate the coordination and preparation of various documents, presentations, and communications. Collaborate with leadership, management team members, fellow executive assistants, and middle managers to gather information for reports and assist in document formatting and proofreading.

Lead projects and special assignments by setting clear objectives, prioritizing tasks, and managing timelines. Create status reports and tracking mechanisms to ensure task execution aligns with objectives in a detailed manner.

Handle day-to-day operations and specific tasks in a fast-paced environment with a strong emphasis on professionalism and attention to detail. Act as a representative of the company, providing a welcoming experience to visitors, whether in person or over the phone.

Collaborate closely with other executive assistants in the C-Suite to ensure seamless coordination of tasks and activities across tightly interrelated schedules.

Take charge of all aspects of the annual leadership meeting, including hotel and travel arrangements, agenda planning, business review items, and all essential elements to guarantee an outstanding and memorable experience.

Bilingual French & French - High Level role| Support experience with C-suite leadership

You are bilingual in English & French.

Possess over 5 years of executive support experience, working closely with C-suite leaders in a high-performance environment. Demonstrate a robust business understanding, coupled with a flexible and adaptable approach to cater to the ever-evolving needs of the team.

Offer exceptional professional customer service, effectively engaging with a wide spectrum of stakeholders, including board members, investors, and executives. Exhibit outstanding oral and written communication skills, along with strong interpersonal abilities. Showcase exceptional organizational and time management competencies, underpinned by robust critical thinking and decision-making skills.

Thrive in a dynamic, fast-paced work environment with a determined \\\'get it done\\\' attitude. Proficiently handle Microsoft Suite applications, including Outlook, Excel, and PowerPoint. Bring extensive experience in managing travel arrangements, logistics, and orchestrating complex meetings with precision.
