We are looking for a well-structured Executive Management & Planning Coordination Manager who works closely with our executive team. In this role you will be entrusted with streamlining planning, asynchrony preparation, and documentation of strategic initiatives; assist and overseeing collaboration planning across program and business management, communicating objectives to our departments and provide administrative support. Furthermore, you are the pivot who translates plans into human interactions to achieve tangible outcomes.
This challenging and diverse position will include the following tasks and responsibilities:
1. Executive Management
Act as strategic planning partner to the CEO, Head of Business Development and project leaders, helping to establish t Business Development and project meeting plans
Lead the coordination and planning of cross functional initiatives and ensure alignment across departments and teams
Act as sounding board, coach and enabler of people to support them fulfilling their planning contributions
Support the planning and preparation of executive level presentations, reports and communications
Monitor progress on key initiatives and ensure accountability
2. Executive Support
Manage the agenda, travel arrangements and meeting logistic for the executive leadership team, as well as board meetings and off-sites
Coordinate the parties involved in content generation for the board and leadership meetings
Listen and react to team needs, address interpersonal tensions, and call out other elements hindering the team to function effectively
Support document preparation and reporting
Option to lead the administrative team

Requirements
For this position, we are looking for a highly motivated individual bringing along:
Vocational education in business administration, Diploma in executive administration or project management, Bachelor in Business Administration or similar education
5-10 years of experience in administration, executive coordination, project planning, and/ or business management
Exceptional organizational, project, and time management skills
An aspiration to contribute to and create high performing teams
Previous experience working with / in an executive team
Feeling of satisfaction when organizing and directing the planning of multiple teams and/ or departments to enable them reaching ambitious outcomes
Experience in planning, leading and presenting initiatives
Excellent written and verbal communication skills in English; German is a Plus
Experience as Project Coordinator and in Project Management
Strong people skills, the ability to understand team dynamics and establish a level of trust across all levels
Structural thinking across longer time spans to support decision-making and steering organizational initiatives and decisions
Proficiency in Microsoft 365
