*Conditions of employment for external candidates: In conformity with existing ILO practice, the appointment of an external candidate will normally be made at the first step of this grade. The entry level salary for this position is 77,571 CHF yearly.

Introduction

The position is located in the Accounts Payable Unit (AP), within the Budget and Finance Branch (BUDFIN) of the Financial Services Department (FINANCE). The Payables Unit is responsible for reviewing and processing invoices, claims, payment requests, and for authorizing payments, in accordance with Financial Regulations, Rules, and Office Procedures. The Unit is responsible for the accounting related to the transactions. The position will report to the Unit Chief.

Description of Duties

1. Review and process invoices, claims, and payment requests on a timely basis. Ensure that transactions are in compliance with ILO Financial Rules, Procedures, Staff Regulations, and other policy documents. Verify that transactions are accurately accounted for.

2. Provide client support regarding the Procure to Pay process and the use of Oracle ERP and the use of Basware software for electronic invoice scanning and processing. Examines client queries and provides explanations, addressing the supervisor in disputed, complex or unusual cases.

3. Monitors and reconciles accounts and projects such as: suspense and project accounts for the review of obligations and expenditure, to identify any anomalies and to take any necessary corrective action.

4. Assist in the update of financial guidance and reference documents.

5. Drafts correspondence in two languages to clarify discrepancies, obtain explanations and respond to enquiries.

6. Performs any other job-related duties as required.

Required qualifications

Education

Completion of secondary education supplemented by tertiary training in accounting and/or finance.

Experience

At least five years of relevant work experience.

Languages

Excellent knowledge of English or French and a working knowledge of the other language.

Competencies

Demonstrated ability to work with word processing and spreadsheet software, including retrieval functions. Ability to communicate effectively both in writing and orally. Ability to deal with clients and to respond to their queries. Ability to work in a team and to work under pressure. Works with material that needs to be kept confidential. Ability to work in a multicultural environment and to demonstrate gender-sensitive and non-discriminatory behaviour and attitudes.
