About the job
Based at the Mandarin Oriental Savoy, Zurich within the Groups & Events Sales Department in Zurich, the Groups & Events Sales Coordinator provides administrative support to the Groups & Events Sales Team, ensuring smooth operations and efficient coordination.
As Groups & Events Sales Coordinator, you will be responsible for the following duties:
Manage group and event inquiries via email and phone
Prepare offers, proposals, contracts, and confirmations
Maintain and update booking systems with accurate group and event details
Coordinate internally with sales, operations, and food & beverage teams
Create and distribute function sheets, event orders, and internal summaries
Track deadlines, deposits, and payment schedules
Handle invoicing and billing preparation
Support the groups and events sales team with administrative tasks
Planning of internal events
Prepare reports and summaries for management
Ensure compliance with company standards and procedure
As Groups & Events Sales Coordinator, we expect from you:
Previous experience in Events and Groups Sales is required for this role
Previous experience in a luxury hotel environment would be an advantage
Must be excellent in using computer and well versed in all computer applications
Charming and outgoing with excellent interpersonal skills for both external and internal customers
Ability to work under pressure
Positive attitude and good communicator
Excellent knowledge of German and English. Further foreign language skills are an advantage
Effective time management, communication and presentation skills
Flexibility to respond to a range of different work situations
The successful candidate must already be eligible to work in Switzerland
