We're looking for a High School University Advising Assistant who is dedicated to creating a welcoming environment and providing exceptional support to all.
This is a part-time role (50%, initially a 1 year contract). Applicants must have the legal right to work in Switzerland (valid work permit or Swiss/EU citizenship required).
The Role
The University Advising Assistant provides essential organisational, data management, and communications support to the University & Careers Advising team, ensuring the smooth delivery of services to high school students and families across AP, IB (DP/MYP), and BTEC pathways. This role ensures that deadlines are met, records are accurate, and events are well-organised so that students can successfully navigate the transition from school to higher education.
The role also offers opportunities for professional growth and may serve as a pathway into future work in university advising or is a chance for existing advisors in different contexts to learn more about different aspects of international admissions.
Depending on experience the successful candidate may also have the opportunity to facilitate advisory sessions, attend professional learning events and also host colleges and university information sessions. ISZL has an ethos of holistic learning and interested applicants may also have the opportunity to work additionally supporting an after school club, activity or sport and/or attend a residential camp with students across the world for at least 5 days in term time.
The University Advising Assistant is expected to:
While working with ISZL Students and Families

• Serve as the first point of contact for routine enquiries about applications, transcripts, deadlines, scholarships, and testing.
• Provide a welcoming, supportive, and culturally sensitive environment for students and families.

Prepare and distribute official school documents (transcripts, predicted grades, BTEC unit results, recommendations).
Support the organisation of university fairs, representative visits, workshops, and parent information evenings, including catering, room bookings, technology setup and calendaring. * Manage registrations and logistics for SAT, Morrisby and other testing agencies where required (experience preferred but not necessary)

• Share timely updates through newsletters, email communication, and the advising parent and student page in our learning platform.

While working with ISZL Colleagues

• Maintain accurate student records across the advising platform and the school's SIS/LMS (e.g., iSAMS, Schoology, Toddle).
• Collaborate with other key stakeholders to ensure data integrity across records.
• Provide administrative support for the submission of applications through UCAS, Common App, OUAC, Studielink and other systems.

Assist advisors with the preparation of annual university destinations reports, school profiles and statistical summaries. * Take minutes, manage calendars, and provide scheduling support for advisor events and team meetings.

• Track departmental inventory and manage purchase orders and budget-related paperwork.

• Bachelor's degree preferred.
• At least 2 years' administrative experience in a school or higher education setting is preferred (international school experience desirable).
• Proficiency with Google Workspace and Microsoft Office (required)
• Familiarity with student information systems and university counselling platforms preferred.
• Knowledge of AP, IB (DP/MYP), and BTEC programmes and reporting structures preferred.
• Excellent organisational skills, attention to detail, and ability to manage multiple deadlines required
• Strong written and verbal communication skills, with cultural competence in engaging international families.

Discretion and professionalism in handling sensitive information * Proficiency in a second language (preferred, but not essential).
Working Hours & Commitments

• Extended ISZL school holidays (but will work remotely 2 weeks over July)
• Occasional evening and weekend work is required to support university fairs, testing, and parent/community events.
