The Internal Communications & Project Manager is part of the ICF Operations Department. The role reports directly to the Global Operations Director.
The purpose of the position is to ensure professional, accurate, and timely internal communication across the organisation. The role supports the communication with the Executive Committee, Board of Directors, and National Federations, while also strengthening communication frameworks between the ICF offices in Lausanne, Budapest, and Hangzhou.
In addition, the position is responsible for coordinating and monitoring cross-departmental projects, ensuring structured project management, alignment with strategic objectives, and consistent reporting to leadership.
Primary tasks and responsibilities
Internal Communications & Governance Support
+ Facilitate professional and consistent communication between the Secretary General, Executive Committee, Board of Directors, and National Federations.
+ Draft and prepare reports, briefings, and updates for leadership.
+ Support preparation of structured reporting, talking points, and presentations for governance meetings.
+ Establish and maintain consistent communication channels across ICF offices.
Institutional & Publisher Relations
+ Support institutional communications with national federations, committees, and partners.
+ Coordinate publisher and public relations outputs with the Communications team.
+ Ensure communications align with ICF's strategic objectives and standards.
+ Manage intranet communication channels.
Project Management
+ Coordinate and oversee delivery of cross-departmental projects.
+ Manage workflows and reporting using Asana, ensuring agreed objectives and timelines are met.
+ Provide progress reports and risk assessments to the Global Operations Director and Secretary General.
+ Support improvements in workflows, reporting structures, and operational alignment across offices.
Other tasks
+ The employee is also required to perform additional tasks as instructed by their supervisor, provided such tasks fall within the scope of their responsibilities or are reasonably assigned based on their knowledge, qualifications, or business considerations.
Education and Qualification requirements
University degree in communications, project management, international relations, or a related field.
Proven experience in project management and/or internal communications, preferably in an international sport, NGO, or non-profit environment.
Excellent written and verbal communication skills in English.
Proficiency in Asana (essential) or equivalent project management tools.
Strong organisational and coordination skills.
Experience working with governance structures (boards, committees) is an advantage.
Knowledge of additional languages is an asset.
