Introduction of the Institute :
The Geneva Graduate Institute, founded in 1927, is a world-renowned centre of excellence for the study of international relations and development. Role :
As a dynamic member of the student housing team within the property management and operations department, you will join the existing team based at the Grand Morillon student residence. You will be responsible for the booking, administrative (using StarRez software) and financial management of student residences across 3 sites (approx. 950 beds). Your daily duties will include general administrative tasks, booking management, maintenance and operations follow-up, handling disputes, and ensuring the smooth functioning of the site.
Key responsibilities :
Manage, in coordination with the department head, the administrative management of the Institute's student housing properties (950 beds);
Handle accommodation contracts (reservations, deposits, certificates, etc.), conduct check-in/out and inventories;
Update pricing and online booking term options annually;
Receive and follow up on disputes and complaints, manage insurance claims, and coordinate repair works and contractors;
Ensure the proper upkeep of the site and maintain good and positive relationships with residents and partners, monitoring housing occupancy schedules and anticipating demand based on availability (planned departures) and Institute's admission academic processes and terms;
Maintain effective communication with internal services (executive education, student services, management, professors, researchers, colleagues, etc.) as well as with residents and student groups;
Act as the main point of contact for residents, responding to their inquiries (emails, phone, welcome desk);
Coordinate closely with other departments (accounting, front office, technical maintenance, security, and cleaning);
Regularly report to the department head on ongoing operational matters, financial and legal follow-ups, reservations, reporting, and statistics related to housing types, occupancy, and forecasts;
Conduct exit inventories and check-outs, including final exit statements and deposit returns;
Provide support to the front office during peak periods or staff absences upon request from the department head.
To be successful in this role, you should have :
Hold a certificate CFC (employe.e de commerce) or equivalent academic training (hotel school, tourism, etc.);
APGCI certificate with a specialization in property management would be a plus, or any other equivalent diploma in the field of property management, hospitality, tourism or student residences.
3 to 5 years of experience in real estate, hospitality, tourism or student residences;
Proficiency in French and English, both written and spoken (level C1 minimum);
Strong interpersonal skills and patience;
Base legal knowledge in housing and rental or booking management is an asset;
Proficiency in, and at ease with IT tools (especially StarRez booking software is a big plus);
Familiarity with room booking software;
Comfortable with banking platforms for reconciliations;
Sense of responsibility, organization, and meeting deadlines;
Professionalism and strong team spirit;
Good listening skills, ability to prioritize, strong customer service-oriented, and multitasking;
Availability and ability to work under pressure during peak activity periods.
