We're looking for a highly motivated Sales Operations Coordinator (80-100%) to support our Sales team in Zurich.
You will manage:
Sales & Schedule Coordination
Proactive support in scheduling appointments with end customers, partners, and internal stakeholders (e.g., Customer Engineering / Pre-Sales)
Coordination of meetings including agendas, participants, documentation, and follow-up
Ensuring that "Next Steps" are clearly defined and consistently tracked
Deal & Offer Tracking
Following up on open tasks: quotes, inputs from partners, customer feedback, and internal approvals
Structured maintenance of deals, contacts, and activities in the CRM (HubSpot)
Preparation of offer and contract documents (templates, formal data entry, version control)
Partner & Stakeholder Management (Operational)
Coordination with partners (e.g., for joint customer meetings, quote inputs, technical clarifications)
"Gentle but persistent" follow-ups to ensure deliverables are provided on time
Ensuring responsibilities are clear regarding who delivers what by when
Sales Operations & Reporting
Support with weekly sales updates: status lists, "Must-Win" deals, forecast inputs
Building and refining simple processes (checklists, templates, standard workflows)
Quality control: ensuring accountability, cleanliness, and data hygiene in the CRM (HubSpot)
What You Bring
1-2+ years of experience in Sales Support / Sales Operations / Assistance in a B2B environment (ideally in Tech/IT)
Strong organizational talent, high ability to prioritize, and reliability
Enjoyment of following up and coordinating (without "Hard Selling")
Basic technical understanding (networks/software/IT) - you don't have to know everything, but you are curious and learn quickly
Very good German and English skills (written and spoken); other languages are a plus
Confident use of Office tools; CRM experience (especially HubSpot) is an advantage
Based in canton Zurich or surrounding areas and willing to come to our office a few times a week
