We now have an exciting opportunity for a talented Administrative & Office Assistant to join our team in downtown Zug, Switzerland. In this role you will support our Strategic Development VPs with general administration duties and will be one of our points of contact for our visitors and colleagues at our new office.
Key Responsibilities

  • Manage and maintain the calendar of two VPs, scheduling appointments and meetings
  • Pre- and post-Travel management, including expense reporting
  • Assist with planning and coordinating on and offsite meetings on a regular basis for VPs
  • Process invoices, expense reports, and other financial documents
  • Develop and implement initiatives to enhance team cohesion and collaborative working
  • Create and distribute communications to keep the team informed regarding office & facilities
  • Welcome guests and be the PoC for office related inquiries, ensuring upkeep and stock of office supplies, meeting room set up, testing of IT equipment for hybrid meetings
Knowledge, Skills and Experience
  • Experience providing administrative support to senior leaders and office management experience
  • Demonstrated passion for professional support and administration
  • Demonstrated impeccable integrity and credibility
  • Self-motivated with a strong work ethic; dedicated to quality, accuracy, and timeliness of results; 100% reliable in tracking, communicating, and completing all business in a timely and efficient manner
  • Able to effectively prioritize work, resolve meeting conflicts and handle reschedules to accommodate more urgent time sensitive requests
  • Demonstrated ability to be proactive, anticipate needs, take initiative, and exercise good independent judgment, and financial responsibility.
  • Excellent planning, time-management, and organizational skills in a fast-paced environment
  • Excellent verbal and written communications and interpersonal skills; demonstrated people skills as well as the ability to communicate clearly with other administrators and executives.
  • Proficient in Microsoft Office Suite, and internet applications
  • Fluency in German and English
