The Legal Team is composed into three Workstreams, Advocacy, Standards and Products and Services. The team is composed of legal counsel working on the legal issues facing IATA and providing Secretariat support to the Legal Advisory Council.

What your day would be like

Reporting to the General Counsels, the Legal Administrator\\\'s primary responsibility is to manage the efficient and effective operation of the Legal office and provide administrative support across the Team\\\'s Legal Services.

The Legal Administrator will:
  • Plan, manage and perform Legal Team administration functions including IT, facilities, and reports.
  • Suggest improvements and innovations in the team\\\'s administrative systems and procedures and maintain, review and update Legal Team Admin Manual.
  • Provide executive administrative support to the General Counsel.
  • Ensure the smooth flow of information and maintain liaison with the office of the Director General, Senior Vice Presidents, Regional Vice Presidents, and IATA business partners.
  • Liaise with other IATA teams requesting legal services and ensure matters are referred to the appropriate team member in a timely manner
  • Liaise with external service providers including notaires, external lawyers.
  • Liaise with other external parties as required.
  • Prepare reports such as the annual performance review of external legal service providers, the Litigation Report and reports on the team\\\'s activities
  • Provide administrative support relating to the Legal Advisory Council, Working Groups , MALBS and World Legal Symposium and all Team meetings.
  • SAP processes for contract workflow, purchase orders, team procurement.
  • Work closely with the Business Operations Coordinator (YMQ) to ensure all processes relating to IATA\\\'s planning and financial systems in accordance with IATA\\\'s management calendar and provide support to cost center owners relating to thebudget and forecast processes.
  • Coordinate across IATA in preparation for meetings, processes, in response to queries, and ensure coherence and timely follow-up.
  • Provide general administrative support to team members as required.
  • Take steps to maintain confidentiality of business critical and legal matters.
  • Maintain records in accordance with the Team\\\'s business systems.

Minimum five years of experience providing administrative support, preferably in a legal department of an international organisation.
A professional qualification in legal administration would be an asset.
Excellent written and spoken communications skills in English, additional languages an asset.
Strong skills in SAP processes,
Strong skills and significant experience working with Microsoft suite of tools including Word, Power Point and Excel in a professional setting.
Diplomatic, customer-oriented, pro-active self-starter with initiative and ability to exercise discretion when dealing with sensitive/confidential issues;
Ability to work under pressure and to meet deadlines;
Ability to deal effectively with people from different cultural backgrounds within and outside the organization, with the ability to work to deadlines.
