Our client, a global bio-pharmaceutical company headquartered in Switzerland, covering multiple therapeutic areas is looking a Logistics and Distribution Manager for an initial 6-month contract with extension based in Basel area.
The Order and Distribution Manager O&DM is responsible for operational execution of the warehousing & distribution and logistics transportation activities, over the entire drug product portfolio of the various therapeutic areas, as well as the CMO and Chemical dimension of the company.
More specifically the role will ensure the effective operational management of transportation from any point to point as per global Supply Chain guidelines and Business Operating Model, as well as complete and accurate inventory management for all W&D owned storage locations. To that point, the position will ensure that inventory is stored and transported accurately and correctly according to Global Supply Chain, Product specification, GMP, GDP and any relevant compliance and regulation applicable, as well as according to Sla's in place.
The role is also ensuring the distribution activities of GMP & NON-GMP materials (API, intermediates, excipients, bulk) for Commercial and Development products, with security of shipments regarding transport conditions (e.g. cold chain, valuable), proper customs and taxes settings for all imports, including the definition of importer and exporter of records for tax and regulatory purposes.
The Order and Distribution Manager O&DM is the primary contact for all internal parties for matters relating to inventory and transportation including but not limited to shipments organization and execution, status reporting, inventory queries, or inventory statuses.
The position is responsible for all coordination activities related to routine inventory management with 3PL and is the business actor of the Inventory Reconciliation process as well as managing any stock adjustments in the system, in agreement with the Financial responsible person. To that point, the role will work with all parties, internal and external, to ensure the related KPI's are adhered to, as well as proactively working to ensure the system (SAP) inventory position mirrors the physical position at the 3PL, at any times.
This includes reviewing the inventory reconciliation report and advising the 3PL on corrective actions as well as approving exceptional stock corrections and potentially directly executing corrections in the system
The role is also working closely with the Quality Management team to ensure timely quality release of all product, as well as contributing to deviation management.
The position is also responsible for managing logistics transportation relating to 3PL, Contract Manufacturing or Contract Packaging Organization (CMO/CPO) or Chemical suppliers, including carrier, customs, system transactional, and other related process duties. To that point, the position is working closely with external logistics providers to ensure timely receipt of product into the market, or material to intended destination.
The implementation and update of SOP's, as well as SAP working documents and manuals, as well as the system SAP S4/HANA key user role, are also part of the position.
And the Order and Distribution Manager O&DM has also a role into the Master data Management area, working closely with Master Data steward to ensure order management related data is created in a timely and accurate fashion.
The role can manage his duties in a situation within significant development and change management dimension, through collaborative effort, sense of urgency, method and appropriate controls.
Main Responsibilities:
Execute Warehousing and Distribution activities with seamless execution, to optimize service and reduce costs.
Manage duties according to Global Supply Chain guidelines, functional SOP and WI in place, and contractual agreements and SLA (Service level Agreements} for 3PL's.
Manage Inventory reconciliation process with the related 3PL in its entirety. This includes reviewing the inventory reconciliation report and advising the 3PL on corrective actions as well as approving exceptional stock corrections and potentially directly executing corrections in the system.
Monitor and ensure stock allocation to customer sales orders aligned with commercial STOs
Primary responsible for managing day to day relationship with internal and external parties as they relate to Inventory management.
Manage 3PL Stock Correction approvals, Stock correction in the system, review regular Inventory Reconciliation report; and advise 3PL on stock differences.
Ensure the distribution activities of GMP & NON-GMP materials (API, intermediates, excipients, bulk, FP) for TechOps.
Ensure security of shipments regarding transport conditions (e.g. cold chain, valuable, ADR}, and ensure proper customs and taxes settings for all imports and exports
Implementation and update of SOP's, as well as SAP working documents and manuals.
Train new colleagues on all SAP platforms for Supply Chain
Process elaboration and improvement regarding shipments.
Purchasing of excipient for internal production facility when applicable.
Confirm delivery details with Logistics provider
Works closely with the Quality Management team to ensure timely quality release of all product
Works closely with data stewards to ensure order management related data is created in a timely and accurate fashion
Works with external logistics providers to ensure timely receipt of product into the market and material to intended destination.
Manage coordination of Freight forwarder for CMO, Chemical, and Outbound Distribution shipments and Transportation services
Qualifications and Experience:
Relevant working/residency permit or Swiss/EU-Citizenship required
BA/BS (or equivalent) required.
ADR Certificates and/or IATA certification are an asset
Minimum 5+ years professional experience within Supply Chain Management and Warehousing and Distribution processes in Healthcare and Pharmaceutical industry.
SAP functional experience in the Inventory management space with (preferred) a detailed understanding of SAP Inventory movements and stock statuses as well as stock derivation.
Preferred: Understands and experienced with the relevance of master data to the overall process and can hold a dialogue with data stewards at a detailed level.
Familiarized with Third party Logistics Operations management and execution, with piloting of their activity based and transactional.
Good understanding of business integration points with Sales order management, Quality management and Finance
Good knowledge in warehousing and distribution, including SLA's & Service Level
Agreements and relation with 3rd Party logistics providers (3PL) and Transporters operating at Global and Regional levels.
Good experience of operating within SAP (R3 or S4H and Fiori) system environment.
Skills in data analysis utilizing MS Excel is a must.
English written and spoken
Any other European language is an asset, specifically German and French.
