Job Description

As Marketing Operations Coordinator, you will lead the planning and execution of our global event presence, from conferences and trade shows to user workshops. You will ensure smooth coordination across teams, manage logistics, and continuously improve processes for efficiency and impact. You will be part of the team located at our HQ in Zurich, with a focus worldwide.

This role is ideal for a highly organized, energetic, and hands-on professional with a strong background in event coordination and marketing execution.


Your Responsibilities




Plan, coordinate, and execute MaxWell Biosystems' presence at conferences, trade shows, and user events - from pre-event preparation to on-site implementation and post-event actions Liaise with internal teams (Sales, Account Management, Applications, Marketing, Logistics) to align on event deliverables, deadlines, and goals Manage logistics, including shipping, handling, and testing of marketing materials and technical equipment ahead of conferences Maintain and manage inventory of marketing materials, ensuring availability, quality, and timely replenishment Manage logistics and production of digital and print marketing materials for events and outreach, ensuring brand consistency and quality standards Continuously optimize event planning and execution processes to drive efficiency, consistency, and scalability Negotiate sponsorship agreements and partnership packages with event organizers to maximize brand visibility and ROI Lead booth planning, including selection and coordination of displays, materials, and logistics tailored to each event Track and report on key metrics and learnings from events and marketing campaigns Organize post-event debriefs and feedback sessions to evaluate performance and identify areas for improvement Support the Sales and Account Management teams with practical lead acquisition tools before, during, and after events (e.g., digital forms, QR codes, badge scanners) Collaborate with cross-functional teams to ensure timely execution marketing projects, communication campaigns and outreach initiatives

Your Profile




BA/BS degree in Marketing, Business Administration, Communications, Event Management, or related field 2 to 5 years of experience in marketing operations, event coordination, or campaign execution (ideally in a B2B tech or life sciences environment) Experience in planning, organizing, and executing international conferences and trade shows; familiarity with booth planning, sponsorship negotiation, and event logistics Comfortable working with CRM and lead management tools (e.g., HubSpot), and digital tools for forms, badges, and QR-based lead capture Strong project management, coordination and multi-tasking skills, with a structured, detail-oriented, and process-driven mindset Fluent in English; other languages are an advantage Excellent written and verbal communication skills, confident in liaising with both internal stakeholders and external partners Team player with a collaborative spirit; able to align across logistics, marketing, sales, and application teams Self-starter with a "get-it-done" attitude, capable of working independently in a fast-paced, high-growth environment Resilient and proactive, with the ability to manage tight deadlines and shifting priorities Enthusiastic about contributing to a company that is advancing neuroscience and redefining scientific discovery
