General Description




The Middle School Assistant is a key role in supporting the Middle School Leadership Team and Division, working in the Baarburg building on Zug Campus. The role requires the person to coordinate, organise, oversee and perform everyday clerical and administrative duties associated with the success of our operations. In addition, they provide secretarial assistance to the Middle School Principal and serve as a liaison between students, staff and parents. The Middle School Assistant reports to the Middle School Principal.



This is a job sharing part-time role (40%). The successful candidate should ideally be available Thursdays and Fridays (full days).


The Middle School Assistant is expected to:

While working with ISZL Students



Provide students with a point of contact. Lead the planning and execution of various events, as required (e.g., student-led conferences, Grade 8 Celebration, and other Middle School events). Provide support with arranging travel, flight schedules and hotel bookings for student trips. Maintaining student attendance, files and transcripts, sending parent and student information and updating school databases to ensure accuracy.

While working with ISZL Colleagues



Provide general administrative support pertaining to the daily running of the Middle School and of the campus. Provide administrative assistance to the Middle School Principal and Assistant Principals by scheduling appointments, meetings and conferences (e.g., PAC meetings), preparing documents, agendas and taking minutes. Provide support with projects, as directed. Arrange travel, flight schedules, hotel bookings and conference registrations for staff members, when required. Maintain financial and budgetary records, including the Middle School's credit card and invoices for payment, to assist the relationship between the Middle School and the Business Office. Manage Petty Cash for the division as necessary. Support in the preparation of the staff bulletin and parent bulletin.

While working with ISZL Parents and External Community



Screen telephone calls, enquiries and requests by handling and forwarding them as appropriate. Provide support and coordinate preparations for school events such as Parent-Student-Teacher Conferences, Student Led Conferences, exhibitions, parent events and liaise with other departments, when appropriate. Greet and assist visitors to the Middle School/Campus, ensuring appropriate sheets are filled in and badges assigned.

Required and Preferred Qualifications/Experience



Effective clerical, organisational and time management skills Able to coordinate, organise and manage multiple calendars Is proactive to anticipating work flow for principal Excellent verbal and written communication skills in both English, German is a big plus Exceptional customer service and problem solving Proficiency in using standard office suites for business such as Microsoft Office and Google Workspace and demonstrated knowledge of database maintenance Able to maintain confidentiality at all times Quick learner, able to use appropriate initiative, resourceful, reliable, detail-oriented and versatile Eager to take on new challenges and lend a helping hand Ability to manage a variety of tasks concurrently and efficiently Successful experience in working effectively as part of a team Ability to be self-directed and work with minimal supervision
