Office & Marketing Assistant (80%-100%)

We are seeking an enthusiastic and dedicated Office & Marketing Assistant to join our clients team. In this multifaceted role, you will play an integral part in administrative tasks, customer service activities, and marketing initiatives. Your attention to detail and organisational skills will contribute to the smooth functioning of our office and the success of their marketing efforts.

Administrative Tasks & Deputy Responsibilities:
  • Gather incoming invoices, review and approve them or facilitate necessary checks and approvals before forwarding them to the Accountancy department.
  • Manage payment notices from wholesalers, accurately record them on the server for the Finance team\\xe2\\x80\\x99s reference.
  • Handle invoices from wholesaler: calculate individual product amounts, annotate invoices, and scan them for submission to the Accountancy department.
  • Initiate payment reminders to customers and actively follow up on responses.
  • Coordinate the collection of empty PET bottles for pick-up.
  • Organise the archiving or destruction of outdated documents and marketing materials.
  • Act as a deputy for the Executive Assistant Office Manager, providing valuable support and assistance.
Customer Service Responsibilities:
  • Attend to phone calls between 08:00 am \\xe2\\x80\\x93 12:00 pm and 01:00 pm \\xe2\\x80\\x93 05:00 pm.
  • Address customer and field seller inquiries via phone, email, and postal communication.
  • Fulfill requests for brochures and marketing materials, managing stock levels efficiently.
  • Handle sample requests entered into the CRM system by field sellers. Facilitate the printing and sending of samples to Wholesaler and file associated Doctor\\xe2\\x80\\x99s receipts.
  • Transmit incoming orders to pre-wholesaler via email.
  • Regularly update the CRM system (XPRIS) twice a day. Maintain and manage data within the system, including additions and changes for new Doctors.
  • Manage appointment cancellations with Doctors when required.
  • Annually disclose doctor\\xe2\\x80\\x99s fees and expenses for CH + AT.
  • Monitor designated email mailboxes, responding to or forwarding emails to the appropriate recipients.
Marketing Responsibilities:
  • Compile, pack, and dispatch orders for promotional materials sourced from the field service or customers via email or CRM.
  • Verify and manage marketing-related invoices.
  • Maintain the company website by implementing critical updates periodically (themes, widgets, plugins, etc.).
  • Oversee the HCP area on the website, ensuring it reflects current events and disclosures.
  • Serve as a liaison between our client and the Marketing agency.
  • Contribute to the planning and execution of events and congresses, handling aspects such as venue scouting, program management, invitation distribution, contracts, travel arrangements, and invoicing.
  • Upload data into the CRM system to enhance our data-driven marketing efforts.
  • Assist in CRM maintenance and evaluation, ensuring accurate and up-to-date information.
