Lightly AG is an ETH and HSG spin-off pioneering in machine learning and computer vision. Backed by Y Combinator and top-tier investors, our technology is used by global leaders in autonomous driving, medical imaging, and visual inspection.



With a small but mighty team in Zurich, we're looking for a proactive and versatile Operations Manager & Executive Assistant to help us scale efficiently and keep our operations humming.



This role is ideal for an ambitious business student, a startup-savvy EA, or a seasoned operations professional seeking a dynamic part-time role with real impact. You'll support our co-founders and leadership team directly while keeping our Zurich HQ running smoothly.



Tasks

In this role, you will:

Office & Facilities Management: Ensure the Zurich office runs like clockwork--managing supplies, coordinating with vendors, and maintaining a comfortable and productive workspace. Executive & Administrative Support: Assist the CEO and other C-levels with calendar management, travel bookings, email support, and preparation of internal or external documentation. Finance & HR Ops: Help manage invoices, reimbursements, payroll coordination, and internal reporting. You'll also assist with hiring, onboarding, and employee paperwork. Event & Travel Coordination: Organize company events, conferences, team retreats, and executive travel--local and international. Process Optimization: Identify and implement opportunities to streamline and scale administrative processes. Cross-Team Support: Jump in wherever needed--from legal documentation to sales operations support and logistics for our interns and engineering team.

Requirements

You're a strong candidate if you:

Have 3-4 years of work experience in office management, executive assistance, HR ops, or finance admin--or are a highly organized professional with a sharp sense of ownership. Are fluent in English. German is a plus. Have top-notch organizational skills and can juggle multiple priorities without dropping the ball. Thrive in dynamic, ambiguous environments and love figuring things out. Are comfortable using digital tools like Google Workspace, Slack, Notion, Bexio and possibly Hubspot or are willing to learn them. Are available for at least 50% (ideally 60%) and can be present in the Zurich office several days per week. If the collaboration works well, the role can grow into a 80%-100% position long-term.
