Order Management & Distribution Specialist

The nature of this role means you can expect to be onsite 4 days PW for this opportunity, connected to our Rolle office.

Your mission




As a key member of the

Order & Distribution (O&D)

function, you will oversee the complete order lifecycle -- from customer purchase order validation through shipment -- ensuring operational excellence, regulatory compliance, and customer satisfaction. You will act as a bridge between internal teams and external partners to secure timely and accurate delivery of our products worldwide.

Organise the storage, distribution and logistics of medical products within the cold chain internationally Manage the import, export and customs documentation process for medical regulated products Review customer purchase orders & shipping documents within ERP to ensure accuracy Ensure a prompt and high-quality order processing in our ERP system Interact with customers to respond to enquiries about products, services, and shipping Collaborate with colleagues across Sales Order Desk, Supply Chain, Sales and Customer Success to ensure a seamless, customer experience and efficient delivery process. + Manage the

end-to-end order fulfilment process

, from order validation, allocation, and release to on-time global delivery. + Ensure order accuracy and compliance with

internal procedures, regulatory standards, and customer agreements

.
+ Manage

international shipping, customs, and export documentation

for medical products, including cold-chain (frozen, refrigerated, ambient).
+ Proactively monitor and resolve order, shipping, or invoicing discrepancies; drive corrective actions when needed; Track and report key performance indicators (KPI) for order fulfilment, accuracy, and delivery performance.
+ Partner with

Customer Support, Supply Chain, Sales Operations, Finance, and external logistics providers

to ensure a seamless order-to-delivery experience.
+ Maintain and update data within the

ERP system (Microsoft Dynamics)

, ensuring integrity of order and shipping records.

Requirements



3-5 years of experience

in international order management, logistics, or distribution roles, possibly within a regulated industry (medical devices, biotech, pharma, diagnostics). Experience across the wider supply chain/procurement environment without exposure to distribution or logistics is not suitable. Proven experience in

order fulfilment and export operations

, including customs compliance, cold-chain management, and global shipment coordination. Good knowledge of

import/export regulations

and

IATA

standards for air shipments. Hands-on experience with

ERP systems

, preferably

Microsoft Dynamics 365

. Fluent in

English

(written and spoken); additional languages are a plus.
