Executive Assistant
Are you a curious, proactive, and results-driven professional ready to move beyond traditional administrative tasks? Debiopharm is seeking an exceptional Executive Assistant to be a close partner to our Chief Development Officer (CDO) & Chief Scientific Officer (CSO).
Your Mission.
Proactively manage the CDO's & CSO's complex agendas and inbox, preparing draft responses and correspondence as needed. You will also coordinate all aspects of domestic and international travel.
Organize and support the Departments' Team Meetings, including planning the agenda, coordinating pre-reads, taking detailed minutes, and coordinating action item completion.
Actively work with administrative assistants across departments to facilitate complex interview schedules, electronic signatures, large team meetings, and external partner meetings.
Act as the first point of contact, liaising with people outside the department and with external partners, prepare and edit documents, communications, and presentations in French and English.
Follow-up on financial matters for the departments (budget update and maintenance), monthly & annual reporting & KPIs tracking
Solve and anticipate proactively problems, prioritizing conflicting needs and following through on projects to successful completion often with tight deadlines.
Take ownership of specific ad-hoc projects or additional specific tasks

Requirements
Bachelor's degree (or equivalent) and over five years of experience supporting executive-level staff in a demanding, fast-paced international office environment.
Proven track record in assisting Head of functions in a fast pace environment - Executive Assistant level
Experience in a Pharmaceutical Company is preferred
Strong organizational skills detail and deadline-oriented, able to identify/communicate conflicts in scheduling and priorities
Ability to establish and maintain the highest level of professionalism, confidentiality and trust, and a strong team player with high customer focus
Technology-savvy in all Microsoft Office applications (including Outlook Calendar, Sharepoint, AI tools)
Excellent written and verbal communication skills in English and French
Curious, you like supporting ad-hoc projects and play a role in internal initiatives
