What it's about
We are currently seeking a Senior Assistant to join our global Headquarters in Zug, Switzerland for a 6-month temporary assignment with potential for extension or conversion to a permanent role.
Key Responsibilities

• Prepare presentation materials for events, committees, and key meetings
• Plan and support international networking and strategy events
• Take minutes and prepare materials for key committees, ensuring timely follow-ups and action points
• Organize, prepare, and follow up with external clients and partners
• Manage travel logistics, including visa preparation, flights, and accommodation
• Liaise with relevant internal stakeholders and external organizations
• Provide administrative support for multiple team members
• Coordinate diaries and agendas across the firm
• Process monthly expense reports for senior team members
• Support ad-hoc projects as needed
• Handle general administrative duties (telephone service, mailings, and courier services)

What we expect

• Minimum 5 years of administrative support experience in a professional environment within a medium to large corporate entity, including executive support
• Confidence in communicating effectively across teams and organizational levels
• Excellent interpersonal skills with ability to manage business and client expectations
• Proactive, hands-on approach with ability to work creatively and independently in a challenging, fast-paced environment
• Strong focus on delivery with exceptional attention to detail
• Ability to quickly assess problems and provide effective, pragmatic, and innovative solutions with confidence
• Excellent business English with strong verbal and written communication skills
• Proficient business German preferred but not required
• Ability to work to tight deadlines in a challenging environment while remaining calm under pressure
• Advanced proficiency in Microsoft Office suite
• Must have Swiss work authorization/permit
• Candidates with immediate or short-notice availability will be prioritized
