Position Summary
As an
Administrative Assistant
you will provide high-quality support to the Head of Communication Zone AOA and the team, ensuring smooth coordination of agendas, travel, meetings, and internal processes. Additionally, you will contribute to communication efforts through content coordination, event planning, and performance tracking.
A Day in the Life of an Administrative Assistant
Manage the Head of Communication's agenda, prioritizing meetings and ensuring alignment with different priorities
Coordinate and prepare meetings, including logistics, documentation, and follow-ups, both in-person and virtually
Manage travel arrangements for the Head of Communication and team & process travel expenses in line with the Nestle Policy
Organize internal and external events, coordinate functional and Zone-wide townhalls and webcasts including logistics, invitations, and materials, ensuring smooth execution; support the hosting of official delegations and special guests, ensuring a professional and welcoming experience
Publish internal documents and newsletters on the intranet, ensuring timely dissemination of information
Track and analyze the performance of communications on internal and external social media, generating KPIs for future content planning
Act as a super-user or champion for new tools and processes related to Corporate Communication, supporting adoption and providing guidance to the team
Lead or support special communication projects as needed, ensuring timely delivery and alignment with departmental objectives

Solid experience as an Administrative Assistant supporting senior leaders
Experience in communication or corporate affairs environments
Familiarity with internal communications, event coordination, and content publishing is highly valued
Trustworthy and capable of thriving in a multicultural, dynamic environment, working across time zones and cultures
Proactive, service-oriented team player
Flexible and agile in engaging with stakeholders at all levels
Excellent communication and organizational skills
Hands-on experience with digital tools and platforms
Proficiency in Microsoft Office collaboration tools (PowerPoint, Teams, SharePoint, Concur) and basic analytics tools
Fluency in English and French
