The Graduate Institute's Global Health Centre has built a global reputation for its work focusing on power, politics and governance in global health. It conducts both academic and policy-oriented research, builds capacity through training and policy engagement initiatives, and convenes stakeholders on strategic issues of concern to the global health community within and beyond International Geneva.


About the role:





Centre Coordinators form part of a team of professionals responsible for ensuring the efficient and effective operation of the Institute's centres. While each Coordinator is primarily assigned to a specific centre, they are integral members of a broader coordination team that provides collective support across all centres.
Within their primary centre, each Coordinator holds primary responsibility for overseeing administrative, financial, logistical, and communication functions that enable the centre to achieve its strategic objectives and maintain compliance with institutional requirements. As part of the common coordination team, Coordinators may also be deployed to assist other centres, providing support based on operational needs.


Main responsibilities:



Ensure efficient and effective use of human and financial resources, and compliance with Graduate Institute guidelines and policies. Ensure smooth, well-functioning operations within the Global Health Centre (and other centres, as required), continuously identifying opportunities for improvement in quality, effectiveness and/or efficiency. Ensure effective information management and information flow within the Centre. Oversee administrative, financial, logistical, and communication functions to support strategic objectives and institutional compliance. Provide cross-centre support as needs emerge, fostering consistency and knowledge sharing across the Institute to contribute to a collaborative coordination team across all centres. Reports to the Academic co-Directors of the centre they are supporting, and to the Managing Director of Centres Coordination.


Key responsibilities:








Act as the main administrative contact for the Centre and apply Institute guidelines. Act as the first point of contact for external stakeholders interested in engaging with the Centre Manage the centre finances, including: + Ensure all project budgets are updated, organised, accurate, and accessible.
+ Prepare and manage complex budgets,
+ Track financial expenditure, and
+ Ensure timely and accurate financial reporting.
+ Support Principal Investigators and other budget holders, as needed, including providing training on financial management procedures
+ Monitor and improve financial procedures.
+ Provide support for donor reporting and fundraising documentation.
Ensure appropriate information management and record-keeping within the centre and information flow across the centre, including use of project management software (e.g. Monday.com), filing and record-keeping for projects and administrative documents. Ensure that all relevant activities are documented, updated, and accessible. Manage contractors and/or consultants as needed. Prepare and update internal procedures and documentation. Coordinate daily administrative tasks and liaise with internal services. Support recruitment processes and manage staff contracts in collaboration with HR. Draft and format correspondence, reports, and official documents. Support the maintenance and updating of the Centre's website and social media channels. Organize events and meetings, including logistics and travel arrangements.



To be successful in this role, you should have:








A Bachelor's degree in administration, management, communications, or a related field (Master's degree is an asset). 3-5 years of experience in administrative coordination, including financial and HR processes, project management, event planning, and communications. Excellent financial management skills, including financial planning, creating and managing complex tasks relating to budgeting, tracking, and donor reporting. Experience managing contractors, including developing terms of reference, delegating responsibilities, providing constructive feedback, addressing conflicts and providing mentorship. Strong familiarity with project management tools, methodologies and best practices Strong IT skills, with proficiency in Microsoft Office Suite and knowledge of financial management tools. Excellent command of English, very good French (minimum C1 level in English, written and spoken; and B2 in French, written and spoken). Strong organizational and time management skills, with attention to detail and ability to handle multiple priorities. Proven ability to navigate complex organizations and to solve problems creatively, resourcefully and diplomatically Excellent interpersonal and communication skills, and ability to work collaboratively in a multicultural environment. High degree of autonomy, ability to take initiative, discretion, and reliability in handling sensitive information. Experience managing institutional social media accounts, managing websites and event coordination tools is a strong plus. Experience with fundraising is a strong asset. Experience in and knowledge of global health issues is an asset, but not required
