Your role

We are looking for an Executive Assistant to:
manage busy calendars, including scheduling of appointments across multiple time zones, arranging rooms, video conferences, and audio facilities
review and manage emails, flagging important issues such as approvals or urgent conference calls
coordinate travel arrangements and itineraries
support our teams in innovating, organising and hosting client events
interact with clients in relation to such events
process expense reports in a timely manner
coordinate the production of presentations and reports, meeting preparation packs, newsletters to clients, etc.
engage in different projects of the organization
Your team
You'll be working in the Global Markets team in Zurich. You will be the Executive Assistant to the Head of Equity Advisory Sales, IB Switzerland, as well as to two other Managing Directors.
Your expertise
proven track record in supporting at the executive level
excellent calendar management skills, including the coordination of complex executive meetings
strong knowledge of MS Office, including Word, Excel, PowerPoint and Outlook (co-pilot or similar a plus)
experienced in handling a wide range of administrative and executive support related tasks and able to work independently with little or no supervision
experience (or a very strong interest) in engaging with clients in a highly professional setting
experience in organising/running events (presentations, roadshows)
exceedingly well organized, flexible and enjoy the administrative challenges
ability to interact with staff (at all levels) in a fast paced environment, sometimes under pressure, remaining flexible, proactive, resourceful and efficient, with a high level of professionalism and confidentiality is crucial to this role
expert level written and verbal communication skills in English, ideally in German as well
strong decision making ability and attention to detail
successful administrative experience in a fast-paced large enterprise
keen attention to detail and a can-do attitude
