Coordinate travel bookings, visas (if required), and logistics
Prepare and submit expense claims and reimbursements
Track invoices, purchase orders, and administrative approvals
Manage calendar, meetings, and appointments across time zones
Support Onboarding/offboarding administration for team members
Support in Project Coordination and Organizing internal and external meetings and leadership forums
Support in Preparing agendas, take minutes and actions, and distribute action lists
Manage sensitive information and confidentiality with discretion and professionalism
Several years of experience in administrative or executive assistant roles preferably in Cybersecurity.
Strong organizational and follow-up skills
Experience with expense management and reimbursement processes
Professional written and verbal communication skills
Comfortable working in international, multi-stakeholder environments
Experience on Tools such as MS 365, Expense, and procurement tools (e.g., SAP, Concur, or similar)
English is a must, German and/or Spanish is a plus.
